agodoc is deliberately simple. Work-agogy professionals see two areas: Capture and Reports. In four steps an observation becomes an approved report.
The professional selects the client by an internal code and records what happened. Right on the phone, right after the situation. Speak or type. Standard German or Swiss German dialect. Full sentences or keywords. Without a connection the recording stays saved. As soon as the connection is back, it is processed.
agodoc arranges the details into a work-agogy structure. Observations and professional assessments stay clearly separated. Developments, links to goals and agreed measures are recorded traceably. If important details are missing, the voice coach asks about them. The professional checks and adds. Not every short note has to cover every area.
agodoc brings the notes of a period together into a draft for a weekly or final report. The draft builds on the documented details. The institution's house style, glossary and templates feed into it. This reduces the gathering and the phrasing. More time is left for the professional review.
The team lead reviews the draft, revises it or returns it for additions. Only then is the report approved. Every report has a clear status: Draft → In review → Approved → Exported. Approved reports stay unchanged and can be exported as a PDF.

Work-agogy documentation contains sensitive personal information. Protecting it is part of how agodoc is built.
Janus, agodoc's pseudonymisation, replaces personal details in the text with placeholders before it is passed to a language model. The mapping back to the original details stays on our own infrastructure. Each institution works in a separate data area and manages its own access.
The institution decides which professional roles document: work-agogy professionals, social pedagogues, psychologists and other professionals. They capture notes and edit their own reports. Team leads review and approve. Administration manages the team and the access. Access is granted by invitation from the institution. Editing status and approvals stay traceable.
AI-generated texts are labelled. Before first use, agodoc explains which tasks the AI takes on. Professionals can review, edit and correct suggestions. A preview shows how personal details are replaced with placeholders before processing by a language model.
In the client portal, clients can write their own notes and give feedback. This lets their perspective complement the documentation.

The Institut für Arbeitsagogik IfA contributes professional content from work agogy to the training and the further development of agodoc. It carries responsibility for the professional foundations of the platform during development and beyond. Case-related assessments, the review of report content and the approval stay with the responsible professionals of the institution using it.
